When you use the ask box

The ask box answers questions about our work. When you submit a question, we receive the text you typed together with your IP address, browser type, request headers, and timing details. We also record basic events about how the ask box behaved, such as whether an answer loaded and the page you were on.

Questions are answered by an AI model that runs on our own servers. They are not sent to any outside AI provider. Please do not include confidential or personal information in your questions.

When you contact us

The contact form sends us your name, email address, and message. To help us understand what you are looking for, it also includes any questions you asked in the ask box during the same visit. We also receive your IP address, browser type, and the page that referred you.

When you apply for a job

A job application sends us your name, email address, phone number, areas of expertise, the highlights you write, any referral code, and your resume. We also receive your IP address, browser type, and the page that referred you. Resumes are scanned for viruses on our own servers before anyone opens them.

3. Cookies and Browser Storage

The site does not set cookies. It saves a few small items in your browser so it works smoothly, and the ask box items are cleared when you close the tab:

• Whether you have dismissed the privacy notice, so it is not shown again
• Your recent ask box questions and their answers, so asking again is instant
• Whether the ask box service is currently busy or unavailable

4. How We Use Information

We use the information described above only to:

• Answer questions in the ask box and improve the quality of its answers
• Respond to messages you send us
• Review job applications and contact applicants
• Keep the site secure, including limiting automated and abusive requests
• Meet our legal obligations

5. How We Share Information

We do not sell, rent, or trade your information, and we do not use it for advertising. Everything described in this policy is stored on servers we operate, and only our staff who need it can access it.

We will disclose information only if required by law or legal process, to protect the rights, safety, or property of virtual malloc or others, as part of a merger, acquisition, or sale of our business, or with your permission.

6. How Long We Keep Information

We keep information only as long as we need it, and you can ask us to delete a contact message or job application at any time:

• Ask box questions and usage events are deleted automatically after 90 days
• Contact messages are kept for as long as needed to respond and follow up
• Job applications are kept while we consider you for current and future roles
• Backup copies of job applications are kept for up to 90 days, including after deletion
• Server logs are kept for security and troubleshooting only

7. How We Protect Information

The site uses encrypted (HTTPS) connections, and the tools our staff use to review submissions are not reachable from the public internet. We limit how often each visitor can submit forms and questions. No system is perfectly secure, but we take reasonable steps to protect the information you send us.

8. Your Choices and Rights

Using the ask box, the contact form, and job applications is optional; the rest of the site works without them.

You may ask us what information we hold about you, and ask us to correct or delete it, by contacting us at contact@virtualmalloc.com. We will respond within a reasonable time and may need to confirm your identity first.

9. Children

The site is intended for businesses and professionals and is not directed at children under 13. We do not knowingly collect information from children. If you believe a child has sent us information, contact us and we will delete it.
